GST Invoice Format India: Explained with Example

The GST invoice format in India is standardised under Rule 46 of the CGST Rules, 2017. Every GST-registered business — whether selling goods or services — must follow this format when issuing a tax invoice. This guide explains what goes into the format, how B2B and B2C invoices differ, and how to create one correctly.

What is the Standard GST Invoice Format in India?

The GST invoice format prescribed under CGST Rule 46 defines the minimum structure that every tax invoice must follow. It includes three main sections: the supplier block (your business details, GSTIN, and contact), the invoice header (invoice number, date, place of supply), and the line items section (item descriptions with HSN or SAC codes, quantity, unit price, taxable value, applicable GST rate, and tax amounts). At the bottom, the invoice must show the total taxable value, total GST broken into CGST + SGST or IGST, and the grand total. Additionally, the total amount in words is required. There is no prescribed visual layout — businesses can use any design as long as all mandatory fields are present and clearly readable.

Mandatory Fields in a GST Invoice

  • Supplier name, registered address, and 15-digit GSTIN
  • Sequential invoice number (alphanumeric, max 16 characters, unique in financial year)
  • Invoice date (date of issue, not delivery date)
  • Buyer name, address, and GSTIN (for B2B transactions)
  • Place of supply — state name and 2-digit state code
  • HSN code for goods or SAC code for services on each line item
  • Taxable value after applying any discounts
  • GST rate applied per line item (0%, 5%, 12%, 18%, or 28%)
  • Tax amounts: CGST + SGST for intra-state, IGST for inter-state — shown separately
  • Grand total amount in both figures and words

B2B vs B2C Invoice Format: Key Differences

Field B2B Invoice B2C Invoice
Buyer GSTIN Mandatory Not required
Buyer name and address Mandatory Optional below ₹2.5L inter-state
Place of supply Mandatory Mandatory
Tax breakup (CGST/SGST/IGST) Must show separately Must show separately
ITC eligibility Buyer can claim ITC End consumer, no ITC claim
HSN/SAC code Mandatory Mandatory

GST Invoice Format for Services

Service invoices use SAC (Service Accounting Code) instead of HSN. The format is otherwise identical to a goods invoice. Key differences: quantity and unit fields are not required for services (just the description and value). The place of supply for most services is the location of the service recipient. For example, a software consultant in Bengaluru providing services to a Delhi client must show place of supply as Delhi and charge IGST. If the same consultant provides services to a Bengaluru client, place of supply is Karnataka and CGST + SGST apply. The invoice must show the service description clearly — e.g., "Website Development Services — Phase 1" rather than a vague "Consulting".

Why the Right GST Format Matters

An incorrectly formatted GST invoice has direct financial consequences. For your buyer, it blocks their ITC claim — the credit they'd receive for the GST paid to you. This can lead to disputes where clients request corrected invoices or deduct ITC claims from payment. For you as the supplier, a non-compliant invoice can lead to notices during GST scrutiny, ITC reversals in joint assessments, and penalties under Section 122 of the CGST Act. Using a standardised invoice format from day one eliminates these risks and builds trust with clients who depend on your invoice for their own compliance.

FAQs

Can I customise the design of a GST invoice?

Yes. GST rules do not prescribe a specific visual layout. You can add your logo, use your brand colours, and structure the layout as you prefer — as long as all mandatory fields under CGST Rule 46 are present and clearly visible.

Should the GST invoice format change for service businesses?

The required fields remain the same. The main difference is that services use SAC codes instead of HSN codes, quantity/unit fields are optional, and place of supply is typically the recipient's location.

Is a logo required on a GST invoice?

No, a logo is not mandatory under GST law. However, adding your business logo makes the invoice appear professional and helps clients identify your brand quickly.

Why Businesses Stop Using Excel for GST Invoices

Manual GST calculation mistakes

One wrong CGST/SGST split or a misapplied rate triggers notices and ITC denial for your buyer.

Slow invoice creation

Copying last month's Excel file, updating dates, recalculating — 20 minutes for what should take 30 seconds.

Formatting breaks on every device

Excel invoices look different on every printer and PDF converter. Clients complain about unreadable layouts.

No easy sharing or payment link

Sending PDFs over WhatsApp with no way for clients to pay directly slows down collections.

Incorrect tax type (IGST vs CGST+SGST)

Excel can't auto-detect intra vs inter-state supply. Wrong tax type = ITC rejected for your buyer.
