GST Invoice Mandatory Fields Checklist

Frequently Asked Questions

What does a GST invoice look like?

A GST invoice has a header (supplier details, invoice number, date), buyer block, a table of line items with HSN/SAC codes and GST breakdown, and totals including amount in words. See the examples above for a complete filled-in sample.

When do I use CGST+SGST vs IGST?

Use CGST + SGST when supplier and buyer are in the same state (intra-state). Use IGST when they are in different states (inter-state). The place of supply field on the invoice determines which applies.

What is the invoice number format for GST?

Any sequential format up to 16 characters — e.g., INV-2026-001, GST/2026-27/001. The series must be consecutive and reset from 1 on 1 April each year.

Does a GST invoice need a signature?

Yes — Rule 46 requires the name and signature of the authorised signatory. For PDF invoices sent by email, a digital signature or typed name is acceptable. E-invoices (via IRP) carry a QR code instead.

What is the time limit to issue a GST invoice?

For goods: before or at delivery. For services: within 30 days of supply. For banks/insurance: 45 days. For continuous supply (subscriptions): on or before each due date.
